Position Description


Performs clerical duties in the front office of the Alexander County Health Department.  An employee in this class will perform a variety of administrative functions in the front office.   Work involves answering phones, greeting the public, checking patients in/out, assisting with filling out proper forms, entering information into computer system, collecting payments and compiling documents for case files.  Employee will have direct public contact in the form of in-person and/or telephone. This position works under the direct supervision of the Public Health Nursing Director.



  • Answers the telephone and transfers calls to the appropriate person and/or taking messages.
  • Greets and treats the public in a courteous and respectful manner.  
  • Assists patients in making and/or changing appointments.
  • Corresponds with patients in regards to payments and missed appointments.
  • Completes financial forms, lab work forms, personal data sheets and other related forms to compile patient records.
  • Maintains patient records.
  • Maintains medical files in regards to the order in which they are filed.
  • Assists the Administrative Assistant III with incoming mail.
  • Prepares all outgoing mail for pickup which includes certified mail and courier mail.
  • Maintains ample supply of forms and office supplies in the front office.
 Additional Job Duties

  • Assists staff on use of general office equipment as well as servicing machines when jams occur and/or calling the company for service.
  • Performs other duties as requested and/or required.

Knowledge, Skills, & Abilities



  • Knowledge of general office procedures and necessary skills for running office equipment.  
  • Must have the ability to work closely and tactfully with the public.  
  • Ability to communicate effectively in person and by telephone.
  • Must be organized and have the ability to multi-task.

Required Minimum Education / Experience



  • High School diploma and one year of clerical experience or an equivalent combination of training and experience.  
  • Complete all mandatory training as needed.
